Proof Reading and pre-approval

It is recommended that you get someone who has not been involved with the preparation of the bid to proof read it and check over your calculations.

You and the people who have helped prepare the bid may not notice spelling mistakes or data entry errors, especially if you have gone through many revisions to get to this point.

One of the listed responsibilities of the Canterbury Faire Subcommittee is to provide assistance and proof reading of bids.

Before your bid is presented to the Southron Gaard Council it must be reviewed by the Reeve and Seneschal.

It is important that you submit this to them with plenty of time for them to do this and resolve any questions/issues that they have. At least 2 weeks before the meeting is recommended.

Presenting the bid

While the bid and budget templates have been designed to make presenting the bid easy, it is important that you attend the council meeting to present it and answer any questions about the bid.

The more changes that are being made to the “standard” event the more questions there are likely to be.

It is important to understand that questions about the bid are not an attack on you, your competence, your vision, or your event. Even if someone finds something wrong with your numbers or disagrees with your vision, we are all trying to make the next Canterbury Faire the best it can be.

Competing bids

It is possible that in a year there may be more than one bid for Canterbury Faire. It is possible that the people putting together the bids might know about the others, or they may not.

Once it becomes known that there is more than one bid they must make the decision of whether to continue as separate bids, or to join forces and combine the bids into one. There is no right answer for this decision and it is up to those who are making the bids.

When it is known that there is more than one bid it is usual for the Seneschal to allow both bids to be presented at the same council meeting. It is possible that a special council meeting may be held in order to just hear the Canterbury Faire bids, this is because it will generally take up a lot of time and this may be more than is available at a regular monthly council meeting.

When the bids are presented they will each be questioned and examined, then a vote will be undertaken to determine which bid will be accepted.

It is important to know that even if your bid is not accepted that your work in preparing it is appreciated and having a choice between bids is a sign of a healthy and engaged populace.
